Researching and posting of records from 1971-1980 (status – Complete)

Description: Secretarial minutes from Upsilon meetings from 1970-82 were given to me by the club for safekeeping. I am reading through each record and using the new
information to update what is known about Upsilon from 1970-82.

October 6, 2008 – December 12, 2008
- All records were
scanned during these 2 months and records were saved as PDF files.

November 28, 2008 – January 2009
– The content of
these records was recorded in MS Word format and the records were
double-checked with records from Lee University and the Upsilon Xi website.

February 8, 2009 – All of the tap records from 1971 to 1980 were updated to reflect the accurate data found in the minutes, and verified by Upsilon alumni. Data was also found in the minutes that made it possible to update the President's page and the Sweetheart's page with accurate dates and names.
Projects for Lee (status: DISCONTINUED)

Summer 2007 - Heard about some
new projects that needed to be done at Lee and saw a few that might be
interesting for Upsilon to consider.

Homecoming 2008 – Spoke
informally with Upsilon leadership and alumni about several prominent ideas.

Mid-November 2008 – Wrote a
message to Lee Vice-President Jerome Hammond to inquire about several of the
projects.

Mid-December 2008 – Received
information from Mr. Hammond and forwarded info to Dr. George and the Upsilon
club leadership . . . awaiting direction from the club if any of these
projects look favorable.

January 2009 – Resent
information to current President Derek Welborn. . .currently awaiting his
direction.

May 2009 – Sent
information to new President Caleb Flynn. . .currently awaiting his
direction.

October 2009 - Confirmed with Lee Vice-President Jerome Hammond that the desired project was still a priority with the Lee Administration

Early November 2009 - Pitched idea for the project at Homecoming and received a very promising response from alumni. Looks like $15,000 to $20,000 could be raised with relative ease.

Late November 2009 - Vice President Hammond seeking more information on the project and an approximate cost estimate

Mid-January 2010 - Wrote e-mail to Vice President Hammond to check on progress. No news has been received yet.

Early-April, 2010 - Spoke with Vice President Hammond About several options for projects and none of them seem to resonate. I ran the ideas by a core group of alumni and none looked attractive.

April, 2010 - Project will be tabled until better options become available or situation changes.
Update of Induction Materials (status: Complete) -
January 2009 – Received a copy of the Induction Manual given to new inductees and noted a significant number of errors, historical inaccuracies, and omissions. Began putting together some ideas for how to update this information. -
September 2009 - Pitched idea to the club of a major restructuring of the Inductees' Induction Manual and received wholehearted support from the club. -
Late-September 2009 - After discussing the situation with many Upsilon faculty and other alumni, all parties agreed that the UXAA should issue the inductee's book since its the alumni, not the club, that is the "expert" on the history of Upsilon. -
October 2009 - Under the Authority granted to me as President of the UXAA, by Article VIII Section 1a of the UXAA Constitution, I created "the
Committee to Update Induction Materials" and asked Dr. Duran Palmertree and Mr. Bill Winters to serve as co-chairs. Immediately began working with the co-chairs on compiling the proper information, using the existing inductees book as a guide to ensure that no critical information was lost. -
Early November 2009 - At Homecoming, called a meeting of the current Sponsors, Co-chairs of the Committee, and Executive Committees of both the UXAA and the current club. An early draft was distributed and discussed. All parties were thrilled with the present course and efforts that are underway to create this book. -
Mid-November 2009 - Distributed a timeline to all involved parties in order to have book ready for Spring 2010 Induction. Input was received and incorporated from Dr. Duran Palmertree, Dr. James Hubbard, and Rev. Dale Huff. Previously acquired testimonies and information from Duane Lambert, Richard Goodman, and Billy J. O'Neal were also worked into the account. -
November 16, 2010 - Draft was sent to 18 members including the chairs of the committee, current club EC, current UXAA EC, and all four sponsors. -
Late November 2009 - Work on editing the book through several drafts continues, involving edits from multiple sources who are reviewing the book.. -
Early December 2009 - Countless drafts have been reviewed and many grammatical errors still being found. -
Mid-December 2009 - Draft is looking quite complete, and Dr. Duran Palmertree, Dr. James Hubbard, and Mr. Bill Winters give a final edit of the early history section for accuracy. Bio section is still in great need of editing and will need a complete re-work. -
Early-January 2010 - Final drafts taking shape. Several more iterations of editing take place -
January 15, 2010 - Final "rough draft" sent to members of the Committee, UXAA EC, and Sponsors to check for last minute edits. -
January 20, 2010 - Final approval received from Committee chairmen, Dr. Duran Palmertree and Mr. Bill Winters. -
January 21, 2010 - First Book of History released. -
April 13, 2010 - The first four "Founding Fathers" of Upsilon (Dr. Duran Palmertree, Rev. Dale Huff, Dr. Jim Hubbard, and Mr. Duane Lambert) planned a reunion trip to Cleveland to attend a Upsilon meeting together for the first time in over 40 years. As each had given input to the book, they signed the final version of to signify its authenticity.
Update of Alumni Directory (status: SUSPENDED)

Homecoming 2008 – It is clear
from what was said at the alumni breakfast that it is time to update the
Upsilon Alumni Directory. The last directory was distributed at Homecoming
2003.

Mid-November 2008 - Sent an
inquiry to Mrs. Anita Ray, the Head of the Alumni Office to receive a database
of known information on Upsilon men. Once received, began updating the
database with known information.

December 2008 - Sent an e-mail
to 26 Upsilon alumni in order to update data from the 1971-1981 period.
Responses from alumni confirmed that there are at least 11 men who completed
induction and became members of Upsilon, but do not appear in the Lee
University database as being Upsilon members. Also, it was discovered that
one person who Lee listed in their records as being a member of Upsilon. .
.wasn't a member afterall. 25 additional names have yet to be confirmed.

January 2009 - Sent an e-mail
to 73 additional alumni in an attempt to resolve the 25 names (and confirm the
previously gathered information).

February 8, 2009 – Forwarded updated records to Anita Ray in Lee Alumni Office. The final result from this analysis identified 27 men who were in Upsilon who do not currently appear in the Lee database and 2 men who appeared in the Lee database who were never in Upsilon. Mrs. Ray has updated the Lee database with the correct information.

September 2009 - Working with Wayne Slocumb on finalizing the accuracy of the alumni list. We are targeting the release of the Directory by Homecoming 2009.

November 2009 - Release of Alumni Directory announced, but still editing the final copy.

Mid-November 2010 - Release of Directory suspended to give full attention to assisting with the "Book of History."

Mid-January 2010 - Reviewing necessary edits to release directory. A new internal deadline has been set for February 1st.

February 2010 - Considerable work needs to be done to create a list accurate enough to publish. The decision was made to revisit once a more accurate alumni list can be obtained from the Lee University Alumni Office.
Expansion of User’s group on Facebook (status: Complete) -
November 2008 – I had started a User’s group on Facebook back in 2007 which attempted to contact as many Upsilon alumni as possible. Membership currently stands at slightly more than 150 members. I will work to expand the membership and identify additional members on Facebook. This group is not “public” and participation is by invitation only. -
September 2009 – Membership currently stands at 325 members Late-November 2009 - After a new batch of invitations, number of members has swelled to 360
Creation of a Upsilon Xi “Fan Page” (status: Complete) -
July 11, 2009 – Fan page was created, and invitations were sent to everyone who is already a member of the Upsilon User’s group. The Fan page is a “public” page and is open to anyone who wants to become a “fan” of Upsilon. -
July 22, 2009 – 300 fans have signed up so far -
September 2009 – Fan number has stabilized around 350 -
Late-November 2009 - After a new batch of invitations, number of fans has swelled to 425. -
Mid-January 2010 - Fan Page stable at 440 fans. -
August 2010 - Fan page at 475 users
Creation of "Cornerstone" (status: ONGOING) -
Fall 2008 – Received a number of comments from the faculty alumni concerning their desire to have a closer relationship with the members of the club. Some even pitched the idea of starting a "mentorship program" in an effort to reach out to the current members -
February 2009 – Spoke to several members of the current club who expressed a desire to be mentored by faculty alumni. Two different members shared the opinion that, "we don't really know who are faculty alumni are. . .they don't seem that accessible to us." -
July 2009 – Began to put together the structure of a mentoring program and floating the idea inside and outside the club. Great support was present throughout. Wayne Slocumb came up with the name "Cornerstone". -
November 2009 - Under the Authority granted to me as President by Article VIII Section 1a of the UXAA Constitution, created "the Cornerstone
Committee" and asked Dr. Jeff Sargent and Mr. Paul Rankin to serve as co-chairs. Formally announced the initiative at Homecoming 2009 with limited early success. Several individuals showed interest, but not as much enthusiasm as anticipated. -
Late-November 2009 - Awaiting direction from co-chairs on how best to proceed. Program expected to be rolled out in January 2010. -
December 2009 - Jeff and Paul in the process of recruiting mentors and setting up the format. -
January 24, 2010 - Jeff and Paul to meet with the current EC to ask them how best to set up the mentoring relationships. -
February 3, 2010 - Monthly meetings were set up for members to get to know faculty alumni. These breakfast meetings will continue for the rest of the semester.
Amending of UXAA Constitution (status: ONGOING) -
Fall 2008 – UXAA Constitution has several outdated structures and functions. An effort must be started to revamp the Constitution and bring it in conformity with the present functioning of the club. -
November 2009 - Under the Authority granted to me as President by Article VIII Section 1a of the UXAA Constitution, created the “Committee to Amend the UXAA Constitution” and asked Dr. Dewayne Thompson and Dr. Robert Fisher to serve as co-chairs. -
Late-November 2009 - Working with the co-chairs to frame out the issues that need studying/editing. Timeline will be to post the proposed changes well before Homecoming 2010. Article VII of the UXAA Constitution mandates a 10-day lead time, but we should have at least a month in advance. -
November 23, 2009 - Dr. Thompson working with Dr. Fisher to draft out some of the issues that needs to be resolved. -
May 2010 - Results from the Committees' work were posted more than 90 days before Homecoming 2010. Comments were encouraged from any UXAA member well in advance of the annual meeting.
